What is the Label Manager and how do I use it?

OR: How do I get nicely-printed labels like the ones NLLS sends with our items?

Answer

For a printable version of this article including screenshots and instructions for this process in Polaris, please see the links at the end of this article.

Label Manager

The Label Manager allows you to create and print spine, bookplate, and other labels for the items you have catalogued in Polaris. You can use it to create labels for item adds done with donated items or outside purchases, or to create replacement labels for items where the original label may be fading or damaged.

Accessing the Label Manager/Printing Labels

1. To access the label manger go to Utilities > Label Manager.

2. The Label Manager may appear with labels pre-generated from item adds you have done before. To print those labels or clear them, click Actions and then select your preferred option.

Adding Labels to the Label Manager

You can generate labels in two ways:

1. Each time you create a new item record, a label request is automatically sent to Label Manager. If you would like to have this feature turned off, send a request to ask@nlls.ab.ca

2. If you want a label for an item record that has already been created, you can manually request a label. To manually request a label, open an Item Record work form and click on the Label Request icon. Then open your label manager to print off the manually requested label.

Adjusting Label Settings/Content

1) To access the label settings, click on your Login name > Settings.

2) The default view is Print Options, simply scroll to the bottom of this page to find Label Options. Generally, you will only use the Cataloging Label Options.

3) You can select:

  • Label type - choose between spine labels only or SLB sheets, which create spine labels and bookplate labels
  • Print method - choose between:
    • On Demand - Leap opens Label Manager when you request a label so that you can view the label before printing it. The On Demand method works best if you want to edit your label content before printing.

    • Batch - Leap queues the label when you request it, so you can print labels in bulk later. To print queued labels, go to Label Manager. The Batch option works well for creating sheets of labels for multiple items. Batch printing is limited to 500 labels at a time.

    • Quick print - Leap prints the label immediately at the designated printer without opening Label Manager in Leap. The Quick print method works best with continuous-feed printers.
