How to Delete Expired Patron Accounts
Every year in the Spring, we put out a call for database maintenance, requiring library managers to run a report and create a record set for patrons that have been expired for over 2 years.
Library managers will send in tickets with Expired Patrons record sets requesting that we delete the patrons. Search for the record set name in LEAP:
Open the record set and check a few patron accounts (by clicking on a result) to ensure that the report was run correctly. The patrons should be expired for 2 years or longer, and they should not have any or fines larger than $9.99. If the accounts show fines that are higher than $10 or the patron accounts are not expired for the 2-year period, then the library manager must re-run the report. Close the account work forms and return the record set.
Select all results by clicking the little box at the top. Then Click ACTIONS and Delete Selected Records:
Deselect the breakable links warning. Maintain the unbreakable links and other stopping conditions selection (this will ensure accounts that have Do No Delete Record are not deleted). The breakable links are simply patron blocks like the expiration block.
Investigate any accounts that were not deleted. Library managers can add context and decide to delete the remaining accounts.
