My library hours have changed, what do I do?

OR: What do I do when my library is going to close on a day it is normally open?

Answer

When a library's hours of service change, or a library needs to close temporarily, this impacts a lot of systems.
Both Member Libraries and NLLS have tasks to do:
 
Tasks for the Member Library
  1. Update your Hours of Service Policy (as needed)
    • Talk to your Library Board and find out if they need to change your policy to accommodate the closure.
      • An "Hours of Service" policy is one of the 10 policies libraries are required to have. Sometimes a library's policy is written with specific hours of operation listed (which will therefore need to be updated), and sometimes they are written more generally, and are not impacted by hours changes.
    • Make sure the Board passes any changes to your Hours of Service policy by vote at a Board meeting.
  2. Send an email to ask@nlls.ab.ca that explains how your hours will be changing - e.g. days closed, different daily hours - and if this will impact your van run schedule.
  3. Change your library website's hours to match: How to Change Your Hours (and Other Home Page Details)
  4. Change your Facebook and other social media hours to match: Add or change business hours on your Facebook Page
  5. Change hours on any physical media you use for advertising: newsletters, brochures, posters, etc. A big hours change will require you to re-print everything you hand out.
  6. Contact any outside organizations where the library hours may be listed - e.g. a town or county newsletter or website - and let them know about the change.

 

Tasks for NLLS

  1. Update Polaris with the new hours
    • Changing a library's operating hours impacts how fines accrue and how holds get requested.
    • Updating Polaris should automatically update the hours in the TRACpac app as well.
    • The TRACpac website doesn't need updating because it simply links users to the hours listed on each library's website.
  2. Update the Member Library's Google Business Account (unless the member library runs this account themselves)
  3. Update Van run (as needed): If the new hours conflict with the van run time slot, NLLS will need to make changes to the schedule.
  4. Communicate back to the Member Library to inform them of work completed and any next steps.
