Create an On-The-Fly (OTF) Item at Check Out

Though there is generally no need to create on-the-fly records, there may be the odd case where you need to create one. On-the-fly (OTF) records can be created to check out un-catalogued items. If you scan an un-catalogued barcode at the Check Out work form, Polaris will prompt you to create an On-the-fly record. 

  1. Select yes and the Brief Item Entry box will appear.

  1. Enter the barcode and title (required). Any other information is beneficial in case you have to search for it in the future.
  2. If you want to leave a note, type the information in the free text block, this information will be in the block window which appears when the OTF item is checked in. Checking the Set OTF Block option will ensure that the blocking window appears; this is checked by default.
  3. OTF records are not deleted automatically on check in. The record will remain attached to that barcode until it is deleted by staff at headquarters (this will be done monthly for items with a status of checked in).
